Privacy Policy
1. Who we are
Fixaplex Limited (“Fixaplex”, “we”, “us” or “our”) operates a digital marketplace that connects customers seeking home services with independent service professionals.
Our initial service categories are plumbing, electrical work, handyman services and cleaning in selected Dublin areas, subject to service availability.
Through the Fixaplex website and mobile application, customers may submit service requests, provide job descriptions and photographs, request bookings, review estimates and quotes, approve proposed work and materials, receive job-status updates and make payments.
Company details
2. Our role
Fixaplex operates the Platform as a digital marketplace intermediary intended to connect customers with independent service professionals and facilitate the booking process.
Professionals may be separate businesses or self-employed individuals responsible for providing the services they agree to undertake. The precise contractual responsibilities of Fixaplex and the professional will be explained in the applicable terms and conditions.
Fixaplex acts as a data controller for personal data it processes to operate, administer, secure and improve the Platform. Depending on the circumstances, professionals and third-party providers may have their own data protection responsibilities. Their status as controllers, joint controllers or processors must be determined by reference to their actual activities and arrangements with Fixaplex.
3. Personal data we collect
The information we collect depends on how you use the Platform.
3.1 Account and contact information
This may include your name, email address, telephone number, account identifiers, authentication information, and communication preferences.
3.2 Booking and job information
We may collect:
Service category and description of the requested work.
Service address and Eircode.
Requested appointment date and time.
Photographs uploaded to explain the job.
Booking requests, acceptance or rejection, and appointment status.
Estimate and quote information, including customer approval or rejection.
Information about materials or parts proposed for the job.
Job progress and completion information.
Relevant messages, complaints, support enquiries and dispute records.
3.3 Payment information processed through Stripe
Fixaplex uses Stripe as its payment provider.
When you make a payment or provide a card authorisation, Stripe processes the payment information required for the transaction. Depending on the integration, Fixaplex may receive information such as transaction references, payment amounts, payment status, card brand, authorisation or capture status, refund information and payment-failure details.
Full card details are intended to be handled by Stripe’s payment infrastructure rather than stored directly by Fixaplex.
Payment processing may include:
The initial €25 booking payment.
A temporary card authorisation for the remaining amount required to cover the applicable estimate limit.
Capture of the final approved amount, taking account of the initial payment.
Release of any unused authorised amount.
Refunds, failed transactions and payment disputes.
A card authorisation is not necessarily a completed charge. Your bank may temporarily reduce your available balance or credit while the authorisation remains in place.
3.4 Professional information
If you register as a service professional, we may collect your name, contact details, business information, service categories, service areas, availability, relevant qualification or registration details, verification information, booking history, reviews and information needed to administer payments or payouts.
3.5 Technical and usage information
Depending on the technologies deployed, we may collect IP address, device and browser information, operating-system and app-version details, log records, security events, diagnostic information and information about how users interact with the Platform.
3.6 Customer support and feedback
We may process information you provide when contacting support, reporting an issue, disputing a transaction, submitting a complaint or leaving a review.
4. How we use personal data
We may use personal data to:
Create and administer accounts.
Receive and process service requests.
Identify and contact suitable professionals.
Coordinate bookings, appointments and job-status updates.
Facilitate estimates, final quotes and customer approvals.

We will not use personal data for a materially different purpose without an appropriate lawful basis and any required notice or permission.
5. Lawful bases for processing
Under the General Data Protection Regulation (GDPR), we must have an appropriate lawful basis for processing personal data.
Depending on the purpose, we may rely on:
Contract: where processing is necessary to provide the requested Platform service, administer a booking or facilitate related payment arrangements.
Legitimate interests: where processing is necessary for appropriate purposes such as platform security, fraud prevention, customer support, service improvement or handling disputes, provided those interests do not override your rights.
Legal obligation: where processing is necessary to comply with applicable legal requirements, including relevant accounting, tax or regulatory obligations.
Consent: where you have given valid consent for a particular purpose, such as certain optional cookies or marketing communications where consent is required.
Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
The final policy should map each processing purpose to its confirmed lawful basis.
6. Job descriptions, photographs and addresses
The booking process requires customers to provide a job description and photographs.
We use these details to understand the requested work, help identify a suitable professional, support the estimate and quote process, coordinate the appointment and address relevant questions or disputes.
Where necessary, we may share the job description, photographs, service address, contact information and other relevant booking details with professionals being considered for or assigned to the job.
Please upload only material relevant to the service request. Avoid including unnecessary personal information, payment card details, identity documents or images of other people who have not agreed to their inclusion, where their inclusion is not necessary.
Photographs may incidentally capture personal data. Fixaplex should establish and document appropriate access controls and retention rules for these attachments.
7. Sharing personal data
We may share relevant information with the following categories of recipients.

We may share job details, photographs, address, contact information, appointment information and other details reasonably necessary to assess or perform a booking.

We may use third-party providers to host and operate the website, app, databases, communications, customer support, security, backups and other technical services.

We may disclose information where required by law or reasonably necessary to investigate fraud, protect safety, enforce our rights or comply with lawful requests.
We do not intend to sell personal data to third parties.
8. International data transfers
Some service providers, contractors or professionals may access or process personal data outside Ireland or the European Economic Area (EEA).
Where personal data is transferred internationally, Fixaplex will assess the applicable legal requirements and implement appropriate safeguards where necessary. These may include an adequacy decision, Standard Contractual Clauses and supplementary measures where required.

10. Security
We intend to implement appropriate technical and organisational measures to protect personal data against unauthorised access, disclosure, alteration, loss or destruction.
Depending on the final implementation, these measures may include access controls, authentication, secure payment processing through Stripe, system monitoring, confidentiality obligations, backups and incident-response procedures.
No internet-based service can guarantee absolute security. If a personal-data breach occurs, Fixaplex will assess and respond to it in accordance with applicable legal obligations.
11. Your data protection rights
Subject to applicable law and relevant exceptions, you may have the right to:
Request access to your personal data.
Request correction of inaccurate information.
Request erasure of personal data.
Request restriction of processing.
Object to certain processing.
Receive certain personal data in a portable format.

We may send communications necessary to administer accounts, bookings, appointments, payments, security and support.
Promotional communications will be sent only where permitted by law and where any required consent or other lawful condition is satisfied. You may unsubscribe from marketing communications using the provided method. This will not prevent essential service-related communications.
